Relations Coordinator -- Pella Real Estate Services

Position: Relations Coordinator 

Part Time Position

Ideal Start Date: March 15, 2024

Summary of Job 

This role upholds the professional image of Pella Real Estate Services and its agents. The Relations Coordinator ensures best practices for effective communications and to promote efficient business processes that keeps our clientele in the forefront. The Relations Coordinator will work hand in hand with our Marketing Support role and be an internal resource that holds office hours and flex hours to support agents daily operations. 

The areas of responsibility include: 

  • Organize and Manage Internal Transactions

    • Coordination of our buying/listing processes and assist in improving our effectiveness

    • Support to agents for obtaining or filing listings, offers, and important closing documents 

    • Automate effective communications to clientele for timely updates from offer to close

  • Coordinate Effective Use of our Internal Online Platforms

    • Become an expert of our Customer Relationship Management (CRM) to support our daily operations

    • Organize and clean leads on our CRM to ensure measurement of accurate data

    • Communicate closely on projects with our Marketing Support role to ensure cohesive branding is presented

  • Maintain Relationships of Past/Current/Future Clientele

    • Manage from start to finish various touch points annually to connect with clientele 

    • Coordinate reviews, appreciation events, and closing gifts, etc. 

    • Assist agents and office on daily/weekly/monthly tasks to maintain client relations  

  • Attendance of Monthly, Quarterly, and Annual Strategy Meetings

  • Duties are subject to change as company has a growth mindset

The Ideal Candidate must possess some or all of the following: 

  • An Associate's degree or higher education is recommended. 

  • Professional communication, organization skills, detailed oriented, ability to multitask, and works proficiently in a team environment.

  • Proficient in basic computer skills and knowledge of utilizing Google Drive and Excel

  • Able to work independently and efficiently on time constraint matters.

  • Knowledge of handling contracts and importance of office and client confidentiality.

  • Previous experience in the real estate industry recommended but not required.
