Job Title: Operations Coordinator

Location: Pella, Iowa

Position Summary:

We are seeking a detail-oriented and proactive Operations Coordinator to join our team. This position supports our agents and office operations by managing the transaction process, maintaining client databases, overseeing MLS listings, and ensuring our office runs smoothly day to day.

 

Key Responsibilities:

 

CRM & Database Maintenance: 

  • Maintain and update our CRM system (WiseAgent) and Google Drive database. 

  • Ensure all client information is accurate, organized, and up-to-date.

 

MLS Listings:

  • Assist in creating and managing property listings on the MLS.

  • Review listing details for accuracy and professional presentation.

 

Front Desk Coverage:

  • Serve as the friendly and professional first point of contact for visitors and callers.

  • Manage phone calls, greet clients, and handle general inquiries.

 

Transaction Coordination:

  • Coordinate with agents to manage all stages of real estate transactions for both buyers and sellers.

  • Track deadlines, prepare/maintain documentation, and ensure all steps are completed accurately and on time for the closing process.

  • Provide regular updates to agents and clients on key milestones throughout the transaction to ensure all targeted deadlines are met.

 

            Transaction Coordination (cont’d):

  • Coordinate and schedule meetings with clients to finalize closing paperwork, supporting a smooth and successful closing.

  • Continuously improve processes and documentation preparation for closings in response to industry changes, including compliance, legal, and ethical requirements.

 

General Office Administrative Support:

  • Assist with additional administrative tasks as needed to support team operations.

  • Contribute to a positive, efficient, deadline sensitive, and organized work environment.

 

            Meeting Preparation & Metrics Tracking:

  • Track and update essential office metrics across major categories.

  • Assist with meeting preparation and reporting.

 

Qualifications:

  • Previous experience in the real estate industry is preferred, but not required.

  • Strong computer skills and proficiency with Google Workspace tools.

  • Willingness to learn real estate-specific platforms, including CRM and MLS systems.

  • Excellent attention to detail, time management, problem-solving, and communication skills.

  • Positive attitude and a desire to work collaboratively in a team-oriented environment.
