Order Entry Specialist

The Identity Group, founded in 2002, and located in downtown Pella, IA is a marketing and promotional products company specializing in the creation and distribution of our clients branded merchandise and apparel.  Through a unique set of services, The Identity Group has been established as a leader in the promotional products industry. 
We are seeking an Order Entry Specialist to join our team.  A successful candidate will be a highly motivated team player with a proactive approach who thrives in fast-paced environments. They must be detail oriented with excellent organizational and time management skills.  We are looking for an individual who can operate independently and as part of a high-functioning team to meet challenges in exceeding the level of service to our growing customer base.

Order Entry Specialist               
(Expected Start Date: 2 weeks from Accepted Employment Offer)
Responsibilities include:

  • Order entry (strong attention to detail required)
    • Prepare purchase orders and check for accuracy
    • Send information to vendors and confirm receipt of order in a timely manner
  • Coordinate the order process for on-time deliveries
    • ?Contact vendors daily for order updates and pre-production information
  • Customer service
    • Answer incoming phone calls and assist customers and vendors with needed information
    • Make outgoing phone calls to customers and vendors when needed
    • Manage Outlook inbox with various emails throughout the day
      • Review and process incoming emails
      • Compose and send emails
  • Verify vendor invoicing against purchase order for accuracy
  • Run daily reports to follow up on orders and ensure timely delivery
  • Follow standard office policy and procedures efficiently
  • Work with other Customer Service team members to execute daily tasks
  • Interaction with account managers daily regarding purchase orders
Qualifications:
  • Professional communication skills, both written and oral
  • Attention to detail, strong problem-solving skills, and ability to prioritize multiple tasks
  • Analytical and time management capabilities while working independently
  • Friendly, professional telephone demeanor
  • Proficiency in Word, Excel, and Outlook
  • Ability to work well in a team environment
  • Minimum 2 years Associates degree or combination of education and/or equivalent experience
  • Salary range: $27,040-$33,500                                      (Salary commensurate with experience)
