Administrative Assistant, Upward Bound

Job Description:
Accountable to the Director of Pre-College Programs for performing a variety of clerical and administrative support activities associated with the Upward Bound I and Upward Bound II programs. This is an 11-month position (September 1 through July 31).  Work hours will be 40 hours weekly.  

  • Provide clerical support for the Upward Bound director and associate director
    • Serve as program receptionist; create a welcoming atmosphere
    • Coordinate office communications including, but not limited to managing the Upward Bound Outlook inbox, coordinating mailings and faxes, and delivering/picking up mail and packages from the Central post office.
    • Order and maintain office supplies
    • Establish and maintain electronic files
    • Provide general assistance to program professional staff
    • Take and maintain notes for UB team meetings and other meetings at the request of the director or associate director
  • Maintain electronic and paper record systems including participant files in a manner consistent with federal, institutional, and program policy
  • Manage UB database
    • Input data needed for the Annual Performance Report to the U.S. Department of Education (APR) and other functions of the UB program
    • Work closely with the director to perform periodic data checks
    • Run reports as needed to support program development and accountability
    • Assist with preparation of the APR.
  • Provide support to assistant director for selection of new program participants
    • Prepare application materials
    • Review applications for income eligibility and first-generation status
    • Establish and maintain electronic and paper files for each participant
    • Check files annually to ensure documentation is complete
  • Support preparation and implementation of UB summer program
    • Work closely with director, associate director and project staff to secure needed supplies; prepare, print, and collate program classroom materials,
    • Assist director with preparations reporting related to the summer food service program
    • General responsibilities
    • Maintain confidentiality of program and participant information
Two years PSE and/or two years' experience in non-profit or educational office settings. Requires excellent technology skills including the ability to manage StudentACCESS database, Word and Excel documents, electronic communications, Internet searches, and other office technologies. Qualities of integrity, dignity, and cordiality; Ability to communicate effectively and with discretion.
